Job Summary

We are seeking a dedicated and proactive Administration Executive to join our team. The ideal candidate should be a male candidate and will be responsible for providing administrative support and ensuring the smooth operation of our office. He should handle various administrative tasks, including coordinating facilities maintenance, managing office supplies, assisting with HR-related activities, and providing general support to the management team.

The role requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively. Should work independently with minimal Supervision.


Responsibilities

Operations : (both Chennai and Trichy)

  • Maintain and organize office operations, ensuring a clean and well-organized work environment.
  • Contracts renewal (AMC, UPS, Security, Ac service, Pest control, Refreshment, housekeeping, coffee Vendee etc)
  • Managing Housekeeping, Security team
  • Maintain Courier Inward & Outward
  • Guest house maintenance
  • Manage office supplies, including inventory management, procurement, and distribution.
  • Provide general administrative support for management for regular and on demand.
  • Support HR team in organizing various events/Engagements within the budget such team outing, Hotel booking, Vendor coordination, procurement of material etc
  • Expense Maintenance and reconciliation of petty cash
  • Bills / Invoice submission to the Finance team, Vendor Follow up and on time payments.
  • Operation relation Escalation handling within SLA

Security

  • Managing Security, Monitor All Security Registers
  • Office premise security (Movement Registers, CCTV, Access Control Etc)
  • All electrical infrastructure managing & maintenance.
  • Conduct and participate in Fire and safety Drills (Organized by Ramaniyam complex)

Travel Desk

  • Coordinate travel arrangements for employees and management, including flight bookings, hotel reservations, and transportation.
  • Insurance needs for All domestic and international travel.
  • Night shift Cab monitoring
  • Maintain records of travel expenses and reconcile travel-related invoices.

Requirements

  • Bachelor's degree in any discipline.
  • Minimum of 4+ years of experience in an administrative role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work independently and as part of a team.
  • Attention to detail and ability to maintain confidentiality.
  • Pleasant and professional demeanor.
  • Fluency in English and Tamil is required.
